Creating Role Groups/Roles
Organizational roles are a method of providing service entitlements to person entities within the system. If person entities are assigned to an organizational role, managed resources available to the role then become available to the person entities in that role. Certain set of roles can be put into a group called role group.
This section helps you in managing Roles/Role Groups
i. Steps for Creating Role Groups
1. In Settings Click Organization Structures and Select "Roles"

2. Click “Manage Role Group” and then on “Add Role group” a new Window opens
3. . Enter the Role group Name and code. You can also add description about the role group in the relevant field as shown in the Screen Shot
4. Click on Save and a new Role group gets created with the same name and gets displayed
You can add multiple Role Groups by repeating the above mentioned steps.
Edit/Deactivate option:
After a Role Group is created; you can Edit/Deactivate the same by clicking on Edit/Deactivate option as indicated in the screen shot below:
ii. Steps of Creating Organization Roles
Roles can be added either by:
- Adding individually
- Doing Bulk upload using excel template
Individual Role Addition:
1. Repeat the steps of Creating Role group till step 1
2.Click on “Add Organization role” and a new Window opens
3. Enter the Role Details as described below:

- You can attach a Detailed Job Description by Uploading a Doc or PDF file
- Role specific rights can be assigned by checking the check box in front of each option:
- Can define future roster for subordinate
- Can define future roster for self
- Can define back-dated roster for subordinate
- Can define back-dated roster for self
- Can Request for Recruitment
- Click on Save and a new Role gets displayed with the same as shown in the screen shot 6 below
You can add multiple Employee types by repeating the above mentioned steps.
Edit/Deactivate option:
After role is created; you can Edit/Deactivate the same by clicking on Edit/Deactivate option as indicated in the screen shot below:
Role Upload
You can do Bulk Upload of Roles using this option. Refer to the steps below
1. Repeat the steps of Creating Role group till step 1
2. Click “Upload Roles” and a new Window of “ EmployWise Organization Roles Records Import Process” opens
3. Click on “Start Record up” and download the EmployWise Template. The Template has same fields as explained in Individual Role Addition section
4. Fill in the form and click “Next”. A new window opens where you upload the filled in template.
5. System will notify you the number of records created without error and ones with error as shown in the screen shot

6. You can either:
- Download an Error Report and upload the file again
In this option an error report is downloaded which gives you the list of error(Shown in Screen shot) in your template. Fix the errors and repeat the above steps
